International Visit Guidelines

To ensure transparency, fairness, and equal opportunity across our community, please take note of the following guidelines:

🔹 One Place Per Institution

Each UK RAS STEPS member institution will be allocated one place per international visit. This ensures broad representation and equitable access across the network.

🔹 Expression of Interest & Voting

We will accept up to 30 expressions of interest for each visit. If demand exceeds available places, we will invite all interested RTPs to vote anonymously to select the final number of participants. This peer-led process promotes fairness and transparency.

📧 To express interest, please provide a 200-word statement as to why the visit would be beneficial to your career and how your area of expertise is relevant.

🔹 Eligibility

  • Open to RTPs working in or with robotics and/or autonomous systems at a UK institution
  • Priority will be given to those not currently funded for international collaboration or mobility
  • RTPs may only attend one international visit, subject to demand, to allow wider participation across the community.

🔹 Future Opportunities

If you’re not selected for your first option, don’t worry – more international visits are planned. We encourage all RTPs to stay engaged and apply for future opportunities.

🔹 What’s Included

All selected participants will receive funding to cover:

  • Travel
  • Accommodation
  • Daily subsistence
  • Participation in workshops, lab tours, and collaborative sessions

Please note: once flights and accommodation for the visit have been booked, participants will not be able to withdraw from the trip. If someone does pull out after bookings are made, their home institution may be liable for the full cost of the travel and accommodation. We kindly ask all applicants to ensure they are fully committed before confirming their place. This policy helps us manage funding responsibly and ensure fair access to opportunities across the UK RAS STEPS community.
